 How it works

From the job to the books.

Four steps from sign-up to the first week's payroll. The screens on this page show sample records, not a real customer's.

  1. 01

    Add your jobs

Drop a pin on each job site and set its geofence.

  2. 02

    Invite your crew

Every person gets an email invite, sets a password and signs in.

  3. 03

    Work the day

Crews clock in on site, photograph the work and check out the tools they take. The office sees each record as it comes in.

  4. 04

    Close the week

The office reviews and approves the hours, then sends them to payroll as a file or to QuickBooks Online.

 Questions

Questions contractors ask

Straight answers about the trial, your crew and your records.

Do I need a card to start the free trial?

No. Every new company starts with a 14-day free trial of every module, and starting it asks for no card.

What happens when the trial ends?

We email you before it runs out. If it ends without a plan, nobody can work in the account, but nothing is deleted, and choosing a plan opens it again.

How is FieldLink priced?

One flat price for the whole company, set by how many users you need, monthly or yearly. Yearly is 12 months for the price of 10, and every plan includes every module. Storage for your files comes with every plan, from 500 GB to 2.5 TB, and more can be added 250 GB at a time.

How much can we store?

Every plan includes room for your photos and files: 500 GB on Crew and Shop, rising to 2.5 TB on Enterprise. Owners and admins are told at 80% and again when it is full, and more room can be added 250 GB at a time. When it is full, new File Vault files wait for more room, but punches, photos and everything already saved keep working, and nothing is deleted.

Can I cancel any time?

Yes. Your company keeps working through the last day it paid for, and time already paid for is not refunded.

Does my crew need to install anything?

The FieldLink app for iPhone, iPad and Android is coming soon to the App Store and Google Play. Until it is there, everyone works in a web browser on a computer, with nothing to install.

What if there is no signal on the job?

A punch made with no signal is kept on the phone and sent once, when the signal comes back. The trade calculator works with no signal at all.

Does FieldLink track my crew after hours?

No. FieldLink never follows anyone off the clock. FieldLink reads a place only for something a person does: a punch, a drive to the next job they start or a paid drive from home, a photo on a service call or in a daily log, a tool checked out, changing hands, scanned or reported, a job's pin dropped where they stand, a customer signing for the work, or a photo of a pump's display to find the station. Live positions are off until an owner or admin turns them on, and with them on, each person agrees first, and a position is sent only while that person is on the clock with FieldLink open.

Is FieldLink in Spanish?

Yes. Anyone can switch the app to Español from their account menu, and this website has a Spanish version. Estimates, invoices and reports your customers receive stay in English.

Does it work with QuickBooks?

With QuickBooks Online. Once it is connected, approved hours and receipts go over by themselves, and nothing is sent twice. QuickBooks Desktop is not supported.

Who sees pay rates and job costs?

Owners, admins and the office see pay rates, and each person sees their own. A job's costs in dollars show to them and to anyone you give the Billing permission, and a technician without it never sees a dollar figure for a job.

 Module 01

Time Clock

sagetechfieldlink.com/app/timesheetsSAMPLE
Sample FieldLink office screen: Timesheets
Sample FieldLink phone screen: Time Clock

Crews clock in and out on their phones, and the week's hours are ready for payroll without anyone retyping a timesheet.

At a job with a geofence, anyone who clocks in or out outside it is asked to write why, and a photo at clock-in gives the office a picture to review, unless you turn it off.

The Clock out for lunch button measures the lunch to the minute, switching to the next job leaves no gap, and driving between jobs is paid time that counts toward overtime.

A punch made with no signal is sent when the signal comes back, and a punch on a coworker's phone still goes through, and the office is told whose phone it was.

Overtime, shifts, holidays, and whether the drive to a job and the drive home are paid, all follow your own rules, and the week's hours go to payroll as a file or straight to QuickBooks.

At a glance

  • Clock-in photos for office review, and you can turn them off
  • Clock out for lunch without ending the day
  • A crew lead can clock in the whole crew
  • A forgotten clock-out is closed and sent to the office to check
  • Employees can ask to fix their own time, and the office approves or declines it
  • Employees can ask for time off, and the office answers each request on Timesheets
  • Overtime follows your own rules
  • Options to export your payroll for the week

 Module 02

Tools

sagetechfieldlink.com/app/equipmentSAMPLE
Sample FieldLink office screen: Tools
Sample FieldLink phone screen: Tools

Know who has every tool, when it went out and what shape it came back in.

Print a QR label for each tool, or save the maker's own QR code on it, and scanning the label or the maker's code with a phone opens that tool's page, where it is checked out, or checked back in by the office, with a photo.

Every tool is on one person's name, so a coworker who needs it has to ask, and the person who has it says yes or no.

Damage, losses and finds stay on each tool's record, and counting one person's tools, or everything in the shop, shows what is missing and who had it last.

A service date is optional and only for tools that need upkeep, like a generator or a compressor, and the office is reminded a week before it is due.

At a glance

  • Generate QR labels you can scan with a phone
  • Save a tool's own factory QR code, and scanning it opens the tool
  • Tools are checked out to a person, not a job
  • Removing a tool from a coworker needs their approval
  • A photo is taken at every check-out and check-in
  • Damage, losses and finds stay on each tool's record
  • Count one person's tools or the whole shop to find what is missing
  • People sign your terms for a tool before it goes on their name, if you want it

 Module 03

Service Calls

sagetechfieldlink.com/app/serviceSAMPLE
Sample FieldLink office screen: Service
Sample FieldLink phone screen: Service Calls

The technician's photos and notes from a call become a PDF report your customer can read.

The office starts a call and assigns it to a technician, a technician can start one on the spot, and a customer's request from your portal becomes one when the office accepts it.

The office sets an arrival window in your company's time zone, sees each day's calls and the calls with no time yet on Dispatch, and can email the customer when a visit time changes.

On the call, the technician writes what they found, what they did, the materials used and any work still needed, can add photos from before, during and after the work, and FieldLink AI can tidy each note while their own words are kept.

After the office reviews the labor and adds any itemized materials, discounts and tax, FieldLink makes a PDF report under your company's name, and you choose whether the customer signs and whether the report is emailed to them.

At a glance

  • Photos can be taken before, during and after the work
  • FieldLink AI can tidy the notes, and the technician's own words are kept
  • Dispatch lists each day's calls and the calls with no time yet
  • Set an arrival window and email the customer when it changes
  • Itemized materials, discounts and tax go on the report
  • The customer signature is your choice: off, optional or required
  • A signed PDF report can be emailed to the customer
  • Time on site comes from the technician's clock-ins and clock-outs

 Module 04

Estimates & Invoices

sagetechfieldlink.com/app/estimates?status=allSAMPLE
Sample FieldLink office screen: Estimates

Write estimates and invoices from your own Parts & Labor List, send them to customers and record payments received.

The office and anyone you give the Billing permission write estimates and invoices for your customers, line by line and in sections if you want them, and FieldLink AI can draft an estimate from a description if you ask it to.

Your Parts & Labor List keeps the parts and labor you sell with your cost and markup, works out each price to the cent, adds each line you type on an estimate or invoice when you save it, and updates estimates not yet sent when an item changes.

An estimate prints as a PDF under your company's name with the contract you pick, and you can email each person a link of their own and see when they open it, or have the customer sign on your phone, tablet or computer.

An invoice is written from scratch or bills approved work by a deposit, by whole lines or by all the work not yet billed, keeps each payment you record beside the balance and tells the office when it is opened, overdue or paid, without sending any of it to QuickBooks.

At a glance

  • Estimates and invoices on their own pages, with sections and discounts
  • Pending, Approved or Declined as the answer changes, every change kept, and an approved estimate becomes a job in one step
  • Change orders on a page of their own raise or lower the job's contract once approved, signed on your phone, online or on paper
  • Several of your own tax rates on a line, to three decimals, with your own labor rates, document numbers and due dates
  • Categories and a picture for each item in your Parts & Labor List, if you want them
  • Attach files, and show your licenses and insurance on the online copy if you choose
  • Signed copies are kept, and a sent invoice's charges change only with a reason
  • Your cost, markup and private notes never print, and only the office and people with the Billing permission see the money

 Module 05

Daily Logs and Job Reports

sagetechfieldlink.com/app/daily-logsSAMPLE
Sample FieldLink office screen: Daily Employee Reports
Sample FieldLink phone screen: Daily Logs and Job Reports

Everyone on the job writes a daily log, and FieldLink builds one report a day for the general contractor.

Everyone who works a job you mark as needing a daily log writes up the day on their phone with photos, typed or said into the microphone, and a crew lead or the office writes a T&M ticket for a day of extra work, which the general contractor's superintendent signs on the phone.

Anyone who clocks out without writing one is asked for it, a reminder email goes out at 3 PM or the hour you pick, and the office gets a list of who has not written theirs.

The office approves each log, and FieldLink puts one report a day together for each job with the logs, photos, weather, crew and hours from the time clock.

Once the office or the job's crew lead approves the report, it can be emailed to the general contractor as a PDF, or, if you want, it goes by itself at the time you pick once every log is approved, and only the office can reopen it.

At a glance

  • Type the log or say it into the microphone
  • A calendar on the phone shows the days written and missed
  • Anyone who has not written their log is reminded, and the office sees who
  • Daily T&M tickets the superintendent signs on the phone, priced by the office
  • The office approves each log, and can correct or delete it
  • The GC gets the daily report as a PDF, sent by hand or by itself
  • Weather, crew and hours are filled in on the report automatically
  • Once approved, the report is locked unless the office reopens it

 Module 06

Punch Lists

sagetechfieldlink.com/app/punch-listsSAMPLE
Sample FieldLink office screen: Punch Lists
Sample FieldLink phone screen: Punch Lists

Walk the job with a photo and a few words for each item, then send the list to the crew and see each item finished with an after photo.

Owners, admins and the office walk a job on a phone, taking a square photo of each item and saying or typing what needs fixing, with where it is, the crew size and the time if you want them, and the circuits at an electrical or low voltage company.

Owners, admins and the office can open and change any item that isn't finished, on a phone or a computer, and a box dragged over a PDF from the job's File Vault becomes a picture on the item, so the crew sees only that part of the print.

Send to Crew goes to the people you pick, and the crew finishes each item with an after photo, or says why it can't be finished and the office is told at once.

The list adds up its man-hours, prints as a PDF with who finished each item and when, and can be emailed to the job's general contractor and daily report recipients as often as you want.

At a glance

  • A square photo and a few words for each item, said or typed
  • FieldLink AI can tidy the words, and what was said or typed is kept
  • Items walked with no signal are sent when the signal comes back
  • Attach part of a print from the job's File Vault, never the whole PDF
  • Send to Crew ticks the job's crew lead and anyone who clocked in there in the last 14 days
  • An item is marked complete only with an after photo
  • The crew can say why an item can't be finished, and the office is told at once
  • A PDF with the man-hours and who finished each item, emailed to the GC

 Module 07

Receipts and Expenses

sagetechfieldlink.com/app/receiptsSAMPLE
Sample FieldLink office screen: Receipts
Sample FieldLink phone screen: Receipts and Expenses

Take a photo of the receipt at the counter, or of the pump when it does not print one, and FieldLink reads it for you and files it to the job you pick.

FieldLink AI reads the store, date, tax, tip and total from the photo, or from a picture or a PDF already on the phone.

For a pump that prints no receipt, photograph its display with Scan Receipt, then Gas pump display, and FieldLink reads the sale, the gallons and the grade, fills in the station's name and address from what the pump shows and where the photo was taken, and splits out the fuel tax where the rates are known.

FieldLink asks how the purchase was paid for, and only someone who used their own card is asked whether they need to be paid back.

The rules you set check each receipt as it is sent, a likely duplicate is stopped until the person explains it, one over your limit still goes in with the reason shown, and owners, admins and anyone you give purchasing access approve what each person is owed and mark it paid.

At a glance

  • FieldLink AI reads the store, date, tax, tip and total
  • Take a photo, choose a saved picture or PDF, or photograph the pump display
  • A receipt filed to a job counts toward its costs
  • Your rules can require a photo and a job on every receipt
  • A likely duplicate is stopped until someone explains it
  • A receipt over your limit still goes in, with the reason shown
  • Approve every receipt with no problems in one go
  • See who is owed for buying with their own card

 Module 08

Rental Equipment

sagetechfieldlink.com/app/rented-equipmentSAMPLE
Sample FieldLink office screen: Equipment
Sample FieldLink phone screen: Rental Equipment

Track every machine you rent, the job it is on and whether the crew still needs it.

Add each rented machine, such as an excavator or a skid steer, with the rental company, their unit number and your PO, and put it on a job.

The office moves it to another job or calls it off, and the whole company can see which job each machine is on.

After 7 days on the same job, or however many days you set, FieldLink asks the office and the job's crew lead whether the crew still needs it, and they answer in one tap.

Only owners, admins, the office and anyone you give the Billing permission see what a machine costs to rent.

At a glance

  • Made for rented machines like excavators and skid steers, not hand tools
  • Keep the rental company, their unit number and your PO
  • The office puts it on a job, moves it or calls it off
  • Everyone can see which job each machine is on
  • After 7 days on a job, or the days you set, FieldLink asks if it is still needed
  • The job's crew lead can answer in one tap
  • Only the office and people with the Billing permission see the rental rate
  • Every machine shows on its job's daily report

 Module 09

Job Costing

sagetechfieldlink.com/app/job-costingSAMPLE
Sample FieldLink office screen: Job Costing

See what each job has cost so far against the budget you set, while there is still time to do something about it.

FieldLink adds up the hours on each job at each person's pay rate plus your labor burden, together with the receipts filed to the job and the parts used on its service calls, if you give them a cost price.

Put a budget on a job to see how much of it is used, and the Dashboard lists every job that has used 90% of its budget or more.

If you turn cost codes on, crews pick one of your own codes with the job when they clock in, and the hours are broken down by code and by person.

Only owners, admins, the office and anyone you give the Billing permission see the dollars, and nobody else ever sees what a job has cost or a coworker's pay rate.

At a glance

  • Hours are costed at each person's pay rate plus labor burden
  • Receipts filed to the job and parts with a cost price are included
  • Every job can have a budget, with how much of it is used
  • The Dashboard lists jobs at 90% of their budget or more
  • Hours are broken down by person and by cost code
  • Cost codes are your own list, and optional
  • Only the office and people with the Billing permission see the money
  • A service call tied to a job counts in that job's hours and cost

 Module 10

File Vault

sagetechfieldlink.com/app/job-filesSAMPLE
Sample FieldLink office screen: File Vault
Sample FieldLink phone screen: File Vault

Keep every file a job runs on in folders you name, where the crew can find it.

Upload a job's drawings, submittals, permits and manuals a whole set at a time, and a new revision goes on top of the old one, which is kept and marked as older.

A technician sees files only on the jobs you give them, a file kept office only reaches nobody on the crew but that job's crew lead, and each person's name and the time are printed across every page they open, unless they are the company's owner or an admin.

Above the jobs, Company files holds what everybody should read, and in Employee files a person opens their own file by typing their account password again.

Every plan includes file storage, from 500 GB to 2.5 TB, and owners and admins can add more 250 GB at a time.

At a glance

  • The current revision is always on top
  • A technician sees files only on the jobs you give them
  • Office-only files reach only the office and the job's crew lead
  • The reader's name and the time are printed on every page, except for owners and admins
  • No link to forward, no Save and no Share
  • The office sees who opened each file last
  • Company files that everybody in the company can read
  • Employees open their own file with their account password

 Module 11

Live Map

Sample FieldLink office screen: Live map
Sample FieldLink phone screen: Live Map

See who is on the clock right now, where they clocked in, and, if you turn it on, where they are.

The map shows every job, with its geofence where it has one, and a pin for each person on the clock, placed where they clocked in, with their clock-in photo.

Anyone who clocked in outside the geofence shows in red, and you can switch between street, terrain and satellite views.

If you turn on live positions, the office portal shows where each person is right now, but only while they are clocked in with the app open, and only once they have agreed to it.

Owners, admins and the office see the map, but live positions are seen only by owners, admins and the people you choose.

At a glance

  • Every job is shown, with its geofence where it has one
  • Every pin sits where that person clocked in, with their photo
  • A clock-in outside the geofence shows in red
  • Switch between street, terrain and satellite views
  • Live positions show only if you turn them on
  • Every person agrees before their position is shown
  • Positions are sent only while clocked in with the app open
  • Turning live positions off deletes every stored position at once

Look Together

Sample FieldLink office screen: Look Together
Sample FieldLink phone screen: Look Together

Open a print or any file in the File Vault with a coworker who has access to the same file, and the two of you see the same page at the same zoom as you move around it.

Think of remote access to a computer, except you're sharing the drawing instead of your whole screen. Nothing else on your phone or computer is shown.

Your coworker gets a request and taps Accept before anything is shared. Press and hold anywhere on the page to point something out. The mark shows on both screens and then fades, so the file itself never changes.

Call each other on speakerphone to talk it through while you look. Tap Stop or close the file to end the session for both people. The office can see who looked at a file together and for how long.

At a glance

  • See the same page, at the same zoom, at the same time
  • Invite only coworkers who have access to the file
  • Nothing is shared until your coworker taps Accept
  • Press and hold to point, and the mark fades without changing the file
  • Only the drawing is shared, never the rest of your screen
  • Talk it through on speakerphone while you look
  • Tap Stop or close the file to end the session
  • The office sees who looked together and for how long

 Module 13

Customer Portal

sagetechfieldlink.com/app/sagetech-electric/service-requestSAMPLE
Sample FieldLink office screen: Customer Portal

Your customers send service requests to your company's own page instead of your voicemail.

Your company gets its own FieldLink page, where the customers you invite sign in and send service requests with photos.

The office accepts a request as a service call or declines it with a reason the customer can read, and the customer can follow it until the work is done.

When the work is finished, the customer can read the service report there, and sees only their own requests and reports.

Owners, admins and the office can archive a customer and keep the jobs, calls and receipts, with portal sign-in off until a restore.

At a glance

  • Your company gets its own page, under its own name
  • Only customers you invite can send requests
  • Customers can add up to 8 photos to a request
  • Accept a request as a call, or decline it with a reason
  • Customers can follow each request until the work is done
  • Customers can cancel it until you accept it
  • Customers can read their own service report
  • Archive a customer without erasing jobs, calls or receipts

 Module 14

Email

sagetechfieldlink.com/app/company?section=emailsSAMPLE
Sample FieldLink office screen: Automatic Emails

Every email FieldLink sends is tracked, customer replies land on their request, and reminders go out by themselves.

Every email FieldLink sends for your company is logged with whether it was delivered or bounced, and FieldLink stops sending to an address that bounces or to anyone who marks an email as spam.

Every service request gets its own reply address, so a customer can answer from their own email, and the office is told as soon as the reply lands on the request.

Replies are taken only from the email address on the customer's record and from people you gave portal access, and anything else is ignored.

Visit reminders to customers who asked through your portal and last week's hours for payroll go out by themselves on the days and at the hours you choose, and you pick which notification emails each role gets.

At a glance

  • Every email shows whether it was delivered or bounced
  • FieldLink stops sending to an address that bounces
  • See whether each invite and password reset arrived
  • Every request gets its own reply address
  • Replies from unknown senders are ignored
  • A customer who asked through your portal gets a reminder before the visit
  • Last week's hours are emailed, ready for payroll
  • You choose the day, the hour and who gets what

QuickBooks Online

sagetechfieldlink.com/app/company?section=integrationsSAMPLE
Sample FieldLink office screen: QuickBooks Online

Connect QuickBooks once, and your approved hours and receipts go in by themselves.

Sign in to QuickBooks Online once, and FieldLink sends your approved hours and receipts every 15 minutes, with no button to press.

Every receipt goes with its photo, nothing is ever sent twice, and hours changed after they were sent are updated in QuickBooks.

Your QuickBooks customers come into FieldLink, and you can clean up their contact details in FieldLink, review the exact changes, and send them back without blank fields erasing QuickBooks information.

Your QuickBooks employees are matched to your crew by email or name, and an owner or an admin can add someone who is only in FieldLink, sending their name, email and phone.

At a glance

  • QuickBooks Online syncs every 15 minutes
  • Only approved hours and receipts are sent
  • Receipts are sent with their photos
  • Bring in QuickBooks customers, then review and send cleaned-up contact details back
  • Nothing is ever sent twice
  • Hours changed after sending are updated in QuickBooks
  • Add someone who is only in FieldLink, then finish payroll in QuickBooks

 Module 16

Employees and Access

sagetechfieldlink.com/app/employeesSAMPLE
Sample FieldLink office screen: Employees

Invite your people, and give each one the role and the parts of FieldLink they need.

Give each employee the role name your company really uses, from apprentice to superintendent, and give them an access level built on Technician, Office or Admin that decides what they can open, while a name FieldLink filled in switches off instead of being deleted.

Switch any part of FieldLink off for one person or for a whole role, and within a second it is gone from their phone and cannot be used at all.

Owners and admins set the order of the buttons along the bottom of each person's phone, and anyone can move their own by holding one for two seconds.

An employee who wants their account deleted asks, an owner or admin approves it or declines it with a reason, and their hours are kept in both cases.

At a glance

  • Your own role names, and FieldLink's own names are switched off, never deleted
  • Add your own access levels, built on Technician, Office or Admin
  • Switch parts off for one person or a whole role
  • Safety, billing, purchasing and HR access is given person by person
  • Nothing can ever be switched off for the owner
  • Arrange the phone buttons for a role or one person
  • Anyone can move their own buttons by holding one for 2 seconds
  • Employees ask to have their account deleted, and an owner or admin decides

Trade Calculator

Sample FieldLink phone screen: Trade Calculator

Work out cuts in feet, inches and fractions, the way your tape reads.

Type feet, inches and sixteenths just as you read them off the tape, and add, subtract, multiply or divide them.

Every sixteenth from 1/16 to 15/16 is in one column beside the keys, and feet, inches and fractions are kept exact however long the sum, so only the answer on the screen is rounded and rounding never builds up.

Twelve feet times eight feet comes back as 96 square feet, and a volume of 27 cubic feet or more comes out in cubic yards.

The calculator works with no signal, because nothing you type leaves the phone.
